We're looking for a motivated and organised Facilities Administrator to join a Facilities team on a temporary assignment covering staff leave.

About the Role

This is a part-time, temporary position from 31 August to 6 November, working 4 hours per day, Monday to Friday (20 hours per week). There is flexibility around your working hours, provided they are completed between 7:00am and 4:00pm, Monday to Friday. The role is primarily office-based in Epsom, with the potential to work from home 1–2 days per week once fully trained.

You'll play an important role in supporting the Facilities and Maintenance team by helping manage the helpdesk, coordinating maintenance requests, and providing a range of administrative support to ensure the smooth day-to-day operation of the department.

Key Responsibilities include: 

  • Receive, log and distribute maintenance requests through the Facilities helpdesk.
  • Provide general administrative support to the Facilities team.
  • Process swipe card requests and facilities-related forms for new staff.
  • Assist the Facilities Manager with reporting on planned preventative maintenance (PPM) and reactive maintenance work.
  • Provide administrative support for on-site parking.
  • Respond to maintenance enquiries by phone and email, direct requests, book contractors and log jobs in the maintenance management system.
  • Generate planned and reactive maintenance work orders for internal staff and contractors.
  • Keep hospital staff informed by providing email updates on maintenance requests.
  • Maintain accurate records of maintenance tasks and completed work.
  • Liaise with the Facilities team and external contractors to ensure work is assigned and completed efficiently.
  • Assist with general administrative tasks, including purchase orders and other team support duties.

About You:

  • Office administration experience required
  • Has excellent organisational and time management skills.
  • Communicates confidently and professionally by phone and email.
  • Has good attention to detail and can manage multiple tasks.
  • Is comfortable using Microsoft Office and learning new systems.
  • Enjoys working as part of a team and providing great customer service.
