Canterbury Judo Administrator

Payment: Paid Position ($20.00)
Location: Christchurch
Region: Christchurch & Canterbury
Experience: Limited Experience Necessary

This is a role working from home 2 – 5 hours per week so you will need your own laptop and mobile phone. 

The role also requires complete flexibility as there is a need to work approx 3 weekends per year (tournaments are held in Lincoln, Canterbury) and be available 1 evening per month for 2 – 3 hours typically on a Monday.  You will keep a timesheet of all hours worked and be paid hourly.

You will be working supporting the Area Director of a martial arts sports group as well as working alongside myself.  We are passionate people who are looking for someone to complement our working team.

 You will be someone who is confident, polite, firm, diplomatic, professional, efficient, fun, organised, energised and can see the big vision for the clubs and the region.  A self-starter that can show progress each week with the tasks at hand and doesn’t cave at the first hurdle.  There will be a lot of phone contact and face time.

Gaining traction with all the clubs in the region is key and vital to the success of this role.

The role will include but is not limited to:

  • Looking after the sports website and liaising with various hosting providers to gain prices and a producing a plan on how best to progress the website to provide the functions the region (Canterbury) needs.
  • Working with a specific club to heavily drive a programme aimed at the schools to gain more children into the sport.
  • Managing an asset register on all the sporting equipment that is currently owned and researching and purchasing further equipment needed for tournaments.  A tagging system for equipment also needs to be introduced. 
  • Managing the filing repository in a Google Docs setup.
  • Making calls to the various clubs to arrange meetings and information sessions with the Area Director. 
  • Visiting the clubs to gain insight as to how they operate and what they’re needs are.
  • Building strong relationships with the clubs.
  • Working to support the person who applies for grants funding on behalf of the sport.  Providing him with administrative support and be capable of conducting research to provide the content for the grants applications.
  • Conducting surveys of club members.
  • Liaising with Sport Canterbury.
  • Organising sport seminar days to raise funds for the region.
  • Organising all tournaments based in Lincoln.
  • Managing medals and trophies given at sporting events.
  • Managing social media.
  • Managing club memberships and finding ways to drive membership numbers up.
  • Adept at administrative duties/tasks/processes.
  • Able to take Minutes at meetings, produce agendas and papers to be sent to the Executive Committee ahead of meetings.
  • Follow up with the Actions list that has been assigned to people at the meetings.
  • Fast typist/note taker capable of capturing the discussion and the outcomes. 
  • Bring new ideas on how to drive the region and the clubs forward including fundraising and engagement people to volunteer.
  • Any other administrative and ad hoc duties that arise (of which there will be plenty)
  • Produce short progress reports at the end of each week showing where tasks are projects are at, what has been achieved and what the challenges are.
